Project Management

The assessment report is based on the fictional calculations and preparation of presentation an estimated project plan.

Please consider the prince 2 PID template  for the report writing.

Prepare the best feasible project plan.

You must take the role of Project Manager and are required to analyse the case study, research the best approach to managing it and develop the following 5 items in portfolio elements of project planning documentation i.e. Sample Project Initiation Document (PID), a business case, Communication Matrix, risk-register, Short report to the Project Sponsor to be submitted as a single, individual report.

Case study

Project focus: how ‘digital twins’ delivered better infrastructure in Chengdu and Porto

With pressure on local and central governments to deliver better infrastructure to maintain economic growth in an

increasingly unpredictable world, new technologies and techniques are required to ensure projects are delivered

efficiently and with optimum value.

Smart technologies allow project teams to test their ideas more rigorously in virtual environments. By creating a

digital ‘twin’ of the city, they can run scenarios and test their assumptions thoroughly before breaking any ground.

The results are improved public safety and smarter, more resilient infrastructure. Here are examples of two projects

that used this technology to deliver their projects smarter.

Chengdu, China

Chengdu is the capital of China’s Sichuan province. It is undergoing a CNY1.38bn road reconstruction project in

the Shanbanquio area of the city, involving 4.3km of roads, as well as bridges, tunnels, an underground pedestrian

passageway, pipeline and auxiliary works. The main road needed to accommodate cars travelling at 60km per hour

– auxiliary roads would support speeds of 40km per hour.

The project team faced several design challenges. There were space constraints between the elevated and lower

portions of the roadway and the connectors. The designs had to ensure smooth traffic flow on the connectors and

slower lanes that connect to commercial businesses along both sides of the roadway. The project team then had

to consider how it would design a safe pedestrian passage system along the green space and parks next to high

traffic areas. The company leading the project, Chengdu Urban Construction Investment Management Group,

required a high level of coordination at the design stage to avoid mistakes, omissions, and collisions.

The team used Bentley open modelling and simulation applications to create digital twins of all project assets. This

was used to model bridge structures and develop a strategy to minimize the impact on local traffic. ProjectWise

was chosen to store the road network information required for traffic simulation. This helped the team to increase

internal work efficiency by 20%, detect and resolve 16 collision points, and reduce construction drawing time by

120 hours. Using LumenRT for visualization shortened the approval process by 15%.

“Intelligent transportation and the digital model are the foundation of a digital city. Digital twins provide a lightweight

model, which expands the use of BIM applications beyond the project to the delivery of digital assets. Digital twins

can be directly applied to the owner’s planning, construction, demolition, and other management,” said Yanxiang

Wang, BIM engineer, Chengdu Urban Construction Investment Management Group.

Portfolio elements

You were asked to produce a portfolio for your idea which includes all the following sub-tasks elements shown

as items (1) to (5) below. You must read all the sub-tasks very carefully before you begin. Note: All tasks must

be attempted, incomplete submissions will be penalised.

Credit will be given for suitable brevity (i.e. adhering to the suggested word counts), but very short responses

and/or overly lengthy responses may be penalised by the examiners.

Credit will also be given to clarity of ideas and clear English language expression. Try to avoid the use of jargon

for its own sake.

Thus, aim to define all terms used. (If necessary, you can include a brief “Definition of Terms” section using a

brief Appendix A of max. one page. This Appendix (A), will be in addition to any max. word limits given below.)

Similarly, credit will be given for appropriate referencing of suitable external sources to reflect your “wider”

scholarly reading. Take special care so as to ensure that all your citations are both, fully relevant and fully upto-date (i.e. from reputable sources, such as IEEE/BCS/IET etc. Journals or Conference Papers, or from other

suitable (CUP/Oxford Press. etc.) Book Monographs, and published within the past 5-7 years (max.) No older

sources to be used please.

It is suggested that you give not more than 12-15 (max.) citations in support of all the sub-tasks given below.

Use a Selected References/Bibliography section (not included in the overall word-count), to fully cite any

references that you may choose to use. Be sure to fully embed all references into the main body of your text,

using the CiteThemRight Harvard method of Referencing (see the library pages). Do not use Footnotes please

KEY ASSIGNMENT DELIVERABLES

1. Sample Project Initiation Document (PID) to ensure that all participants and stakeholders are fully

aware of the core attributes of the project. This should include ,some of the elements expected of a PID

including project scope, project goals/objectives, general budgetary information, project approach, key

roles and Stakeholder analysis. Include a few well-chosen citations to support your case, particularly the

stakeholder analysis and cost analysis. Aim to write between 1000- and 1200 words max. [45%]

2. A business case with detailed Work Breakdown Structure (WBS) , a Gantt chart with at least 20 items

with showing the dependency table of task, milestones, and summary tasks of the project. The excellent

work should show the approach (Agile, PRINCE 2, etc) you used and the main phases as the summary

tasks and at least one of the phases in more detailed sub-tasks. Use only “just enough” (i.e. minimally/just

sufficient) functionality of Microsoft Project to support this task’s completion, accordingly. A distinction

work should have human resources assigned to the tasks. No citations are needed. Aim to write between

300- and 500 words max [20%]

3. Communication Matrix showing at least 5 discrete task items. A simple proposed table is recommended

considering the project stakeholders in the China case study. No citations are needed; Aim to write

between 200- and 400 words max [10%]

4. A comprehensive risk-register containing at least 10 fully documented risks, including owner, mitigation

and contingency actions, pre-and post- action weighting and scores; Risks should be selected from each

high/medium and low category. Aim to write between 300- and 500 words max. [15%]

5. Short report to the Project Sponsor to explain as a project manager, how likely you will use digital twin

for the next project of such nature. Use the data and learned lessons you have from the case study and

your own knowledge to justify your answer! [10%]

To achieve ensure:

The PID elements provide a full and comprehensive reflection of the project and will be a valued resource. Budgetary information, project role, project approach, etc are detailed and support by citations. Good stakeholder analysis covered in PID.

For the business case -You have used much of the functionality of Microsoft Project to provide a full picture of the project Your project plan fully reflects the project WBS Business Case shows creativity and offer additional features to the client.

The communication Matrix-The content shows excellent understanding of the topic. The communication plan is appropriate to the stakeholders.

The risk register provides a full and comprehensive reflection of the project risks and will be a valued resource. Mitigation plans and status for each risk presented and shows evidence of extensive research.

For the report-the content shows excellent understanding of the topic. You have clearly prepared extensively, and your submission is of a professional standard.
