CREATING MAILING LABELS

GETTING STARTED

  • Open the file NP_WD19_EOM6-2_FirstLastName_1.docx, available for download from the SAM website.
  • Save the file as NP_WD19_EOM6-2_FirstLastName_2.docx by changing the “1” to a “2”.
    • If you do not see the .docx file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.
  • To complete this SAM Project, you will also need to download and save the following data files from the SAM website onto your computer:
    • Support_WD19_EOM6-2_Clients.mdb
  • With the file NP_WD19_EOM6-2_FirstLastName_2.docx still open, ensure that your first and last name is displayed in the footer.
    • If the footer does not display your name, delete the file and download a new copy from the SAM website.
  • PROJECT STEPS
  1. You work in the Estate Planning Department at the E&I Community Bank in Scottsdale, Arizona. To keep your clients informed about financial workshops the bank provides, you often send them postcards with workshop details. You are creating mailing labels to add your clients' names and addresses to the postcards.
Start a mail merge, and then select Labels as the type of main document. Select Avery US Letter 5162 Address Labels to add a table structure of two columns for 4-inch labels to the document.
  2. Use Support_WD19_EOM6-2_Clients.mdb as the recipient list. Edit the data source to customize the columns in the recipient list by deleting the Company Name field and the Country or Region field, which do not contain any data. Add the two recipients shown in Table 1 to the data source.

  1. Sort the recipient list in ascending order by Postal Code to organize the mailing labels for a bulk mailing.
  2. On the first mailing label, insert an AddressBlock merge field in the Mr. Joshua Randall Jr. format. Update the labels. (Hint: Turn the formatting marks on. If the paragraph mark appears on the second page, click the box in the bottom right corner of the table containing the labels and drag the bottom border of the table up until they all appear on the first page of the document.)
  3. Finish and merge all records to a new document. In the new document containing the merged mailing labels, click the Table Selection icon shown in Figure 1 to select the table, and then copy the selected table to the Office Clipboard.
In the original main document, insert a page break at the end of the document, and then paste the merged mailing labels in the blank paragraph at the end of the document so that all of your assignment appears in the same file. (If there is an extra blank page at the end of the document, delete the final paragraph marker to remove it.) Turn off the preview of the mail merge results (if necessary), and save the original main document. Close the new, merged mailing labels document without saving it.
