CREATING FORMS AND REPORTS

GETTING STARTED

  • Open the file NP_AC19_4b_FirstLastName_1.accdb, available for download from the SAM website.
  • Save the file as NP_AC19_4b_FirstLastName_2.accdb by changing the “1” to a “2”.
    • If you do not see the .accdb file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.
  • Open the _GradingInfoTable table and ensure that your first and last name is displayed as the first record in the table. If the table does not contain your name, delete the file and download a new copy from the SAM website.
  • PROJECT STEPS
  1. You are a graduate teaching assistant for Ridgedale College, a private college in the Midwest. To help the college better manage their course scheduling, you have created an Access database and are working on the forms, which make data entry easier and faster for others, and reports, which help you organize and analyze information.

Start working on these objects by opening the ProfessorEntry form in Design View to perform the following tasks:

    1. Resize the ProfTitle text box to be the same size as the ProfLastName text box above it.
    2. Move the Close command button to the top right corner of the form header.
    3. Add a label with the caption Ridgedale College to the center of the Form Header section, above the ID text box.

Save the ProfessorEntry form, switch to Form View as shown in Figure 1, then close the form.

  1. Open the GrantEntry form in Design View and perform the following tasks:

    1. Add the Department field to the form. Position the Department text box so that the left edge of the control aligns with the left edge of the other four text boxes.
    2. Delete the Department label.

Save the GrantEntry form, view it in Form View, and then close it.
  2. Use the Form Wizard to create a form based on the TeachingAssistants table with the following options:

    1. Include all fields from the TeachingAssistants table in the form.
    2. Select the Columnar layout for the form.
    3. Enter TAEntry as the form title and then open it in Layout View.
  3. With the TAEntry form open in Layout View, right-align the text in the four labels in the Detail section. Bold the four labels in the Detail section. Save the form and open it in Form View.
  4. Use the TAEntry form to navigate to the record with TAID field value 8. Change the TAFirstName field value of this record, using Kathleen as the new value.
  5. Use the TAEntry form to add a new record to the TeachingAssistants table with the field values shown in Table 1. (Hint: TAID is an AutoNumber field that will automatically increment.) Save and close the TAEntry form.

    1. Delete the Ridgedale College label control in the Form Header.
    2. Add the DeliveryMethod field to the form then position it just below the Professor Last Name label and text box.
    3. Change the DeliveryMethod label to Delivery Method in the Detail section, and the HybridCourses label to Hybrid Courses in the Form Header section by adding a space between the words.

Save the HybridCourses form and close it.
  2. Use the Report button to create a report based on the TeachingAssistants table. Save the report with the name TAList. With the report open in Layout View, change the label to Teaching Assistants in the Report Header section. Save the report.
  3. With the TAList report still open in Layout View, update the TAFirstName label, using First Name as the new value, and update the TALastName label, using Last Name as the new value. Resize the height of the text box that counts the number of records in the left side of the Report Footer section to clearly display the count, 11 as shown in Figure 2. Save the report and close it.

  4. With the TAClasses report still open in Design View, change the font color of the label in the Report Header section to dark blue (row 7 column 9 in the Standard Colors palette.) Save the TAClasses report, view it in Report View to review the changes, and close the report.

Save the ProfessorsByDepartment form and close it.
