Administering a Database System

GETTING STARTED

  • Open the file SC_AC19_EOM9-1_FirstLastName_1.accdb, available for download from the SAM website.
  • Save the file as SC_AC19_EOM9-1_FirstLastName_2.accdb by changing the “1” to a “2”.
    • If you do not see the .accdb file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.
  • Open the _GradingInfoTable table and ensure that your first and last name is displayed as the first record in the table. If the table does not contain your name, delete the file and download a new copy from the SAM website.
  • PROJECT STEPS
  1. Competitive Swim Clubs Inc. is a national chain of swim clubs targeted to youth and adults who are or who want to be competitive swimmers. You are the regional manager for clubs located in the southeastern United States.  Because of your responsibilities, you need to understand database administration tasks.

    If more than one person is using the database, it can be useful to indicate when any significant changes occurred. Open the database in Backstage View and create a custom property for the database. Select Status from the list of property names, Text as the type, and enter Current Version as the value and add the custom property.

    Confirm that your custom property matches the one shown in Figure 1. (Hint: Your database may contain other properties, depending on the version of Access used to open the file or the method by which the file was downloaded from SAM. Ignore these additional properties.) Click OK to close the Properties box.

  1. Because other individuals use the database, it would be convenient to have the Main Navigation Form display when the database is first opened. With the database still open in Backstage View, change the Current Database option to ensure that the Main Navigation Form opens automatically. (Hint: When the Access dialog box appears and displays the message, "You must close and reopen the current database for the specified option to take effect", click the OK button.)
  2. Indexes provide an efficient way to order records. Open the Coaches table in Design View, and then create a single-field index on the LastName field. The index should allow duplicate values. Save the changes to the table design and close the table.
  3. Open the Swimmers table in Design View, create a multiple-field index using SwimmerName as the name of the index. The index includes the LastName field and the FirstName field in that order. Both the LastName and FirstName fields should be sorted in ascending order. Save the changes to the table design and close the table.
  4. Open the Members table in Design View and modify the Address multiple-field index by changing the sort order for the State field to Descending. Save the changes to the table and then close the table.
  5. Open the Clubs table in Design View, and then create a custom input mask for the ClubID field that ensures that the field must consist of one uppercase letter and two numbers. Save the change to the table design and then close the table.
  6. Open the SwimFees table in Design View and create a validation rule for the table requiring that the RegistrationFee field value is always less than or equal to the MonthlyFee field value. Use Registration cannot exceed Monthly as the validation text. Save the changes to the table design. (Hint: Because there was a change to data integrity rules, the "existing data may not be valid" warning message will appear. Click No to continue saving the table.) Close the SwimFees table.
  7. Currently, when you open the CarolinaMembers table, the records are in order by MemberID. Open the CarolinaMembers table in Design View and change the property for the table so that the records are in order by LastName. Save and close the CarolinaMembers table.
  8. Customize the Navigation Pane by adding a custom category using Swimmers as the category name. Then add two custom groups, Forms and Reports, to the Swimmers category.
  9. Switch to viewing database items by the Swimmers custom category. Add the Swimmer Master Form to the Forms group and add the Swimmer Level Report to the Reports group.

Save and close any open objects in your database. Compact and repair your database, close it, and then exit Access. Follow the directions on the SAM website to submit your completed
