GETTING STARTED

  • Open the file NP_WD19_EOM6-1_FirstLastName_1.docx, available for download from the SAM website.
  • Save the file as NP_WD19_EOM6-1_FirstLastName_2.docx by changing the “1” to a “2”.
    • If you do not see the .docx file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.
  • To complete this SAM Project, you will also need to download and save the following data files from the SAM website onto your computer:
    • Support_WD19_EOM6-1_Donors.mdb
  • With the file NP_WD19_EOM6-1_FirstLastName_2.docx still open, ensure that your first and last name is displayed in the footer.
    • If the footer does not display your name, delete the file and download a new copy from the SAM website.
  • PROJECT STEPS
  1. As an executive assistant for the Children's Medical Center in Paterson, New Jersey, you are preparing a form letter for Chia Lin, a development officer. She is using the letter to thank donors for their recent gifts to the medical center.

    Set a top and bottom margin of 0.75" to provide extra space for the letter contents.
  2. Use the Date content control with the "Click to enter a date" placeholder text to select the date April 19, 2021.
  3. In the middle of the letter, convert the table to a text, separating the columns with tabs, because you later need to use this information in a web document that does not support Word tables.
  4. To set up the document as a form letter, start a mail merge, and then select Letters as the type of main document. Use Support_WD19_EOM6-1_Donors.mdb as the recipient list. Edit the data source to customize the columns in the recipient list by deleting the E-mail Address field, which does not contain any data. Edit the recipient data by entering NJ as the State for Erica Assad.
  5. Replace the placeholder text "[INSERT INSIDE ADDRESS]" with an AddressBlock merge field using the Mr. Joshua Randall Jr. format.
  6. Replace the placeholder text [INSERT GREETING LINE]" with a GreetingLine merge field using the Dear Joshua Randall Jr., format.
  7. At the end of the last paragraph in the body of the letter, insert an IF field that compares whether the Title field is equal to Dr. (including the period). If it is, insert the following sentence:
    If you are a healthcare professional, you know that every dollar helps.
    Otherwise, do not insert additional text.
  8. Edit the recipient list to filter the data records to select only recipients where the City field is equal to Paterson to prepare the first batch of letters for Paterson residents. Sort the filtered list in ascending order by Last Name to organize the recipients.
  9. Finish and merge all records to a new document. In the new document containing the merged form letters, press CTRL+A to select the entire contents, and then copy the selected text to the Office Clipboard.
    In the original form letter document, paste the merged form letters in the blank paragraph at the top of Page 2 so that all of your assignment appears in the same file. Delete the page break and the Next Page section break at the bottom of Page 3 to make the document three pages long. Turn off the preview of the mail merge results, and save the original form letter document. Close the new, merged document without saving it.

Your document should look like the Final Figure on the following pages. Note: When opening your file or the Graded Summary report for this Project, you may be prompted to Select From “Office Address List”. Select No in the dialog box to view your report. Save your changes, close the document, and then exit Word. Follow the directions on the SAM website to submit your completed project.
