ZYZ is a leading provider in the mortgage space, they have over 1 million customers that they deal with.
ZYZ's services span mostly the mortgage space between lenders and sellers alike. Within their company they have many mundane data entry tasks that occur on a daily basis, whilst employees have not complained they would like to help clear these tasks so employees can better use their time.
As a part of this the CTO has taken charge and wants to begin incorporating RPA into their internal process’s. He wants to keep a close eye on the project whilst delegating it to a manager to help the project move where he cannot dedicate as much time. They are both at the same experience level of RPA. The CTO’s division looks after all things IT at the company, be it software or hardware systems.
Scenario
For some time ZYZ has been wanted to streamline their Auto Copy process as it’s a mundane task and the user has complained that they have to deal with a slow system spending 2-3 hours a day to get 200+ files completed. The task is repetitive and can be run at anytime of the day once a day but it prevents other tasks in the process from being completed if it isn’t done.
The organization is keen to work through this quickly so that they can show the benefits of RPA to their company. The process is easy and straight forward however there are key things that must be checked before a file is completed out in the process. They have concerns on if the bot being created will be able to handle this.
The only direction they have given so far is “We would like the bot to run efficiently and quickly, we would like it to be accurate in its steps whilst ensuring any issues that arise are dealt with appropriately”.

Question 1
The process will require the RPA bots to be programmed through a repetitive code to ensure the data entry is continuous and automatic. It will entail supplying the organization’s input data through the computer’s artificial intelligence. The RPA bots identify and structure the data into the appropriate categories from initially observing the human digital process of data entry (Javed et al., 2021).

The process will require extra RPA employees to regularly supervise the data entry process, thereby increasing the organization’s conduct cost. It is in line with the shortage of RPA experts, deeming their employment expensive. Business and IT teams must work together to give system and business upgrades to the RPA technical support to update scripts once they are in production (Javed et al., 2021). Employee resistance is also a potential constraint associated with the implementation of the RPA process.

I anticipate the presence of ZYZ’s management and CTO and IT department in the walkthrough process as the parties aim in determining how the RPA bots efficiently function and complete the data entry process mandates for the organization. It relates to their expectations of efficiency and effectiveness.

A clear and distinctive explanation of the long term benefits of RPA will efficiently accommodate the client’s concerns on costs and general efficiency. It is in line with adequately preparing them to the expectations in the process through layman explanation. The ability to elaborate on what to expect in their first process will smoothen the client’s acceptance of the proposal.

I would start by identifying the problem and explaining the RPA’s functioning towards solving the problem. An elaborative approach to the solution will go hand in hand with drawing examples of how the technology has worked in different organizations.

ZYZ is looking to adopt the RPA technology to ease the data entry task in their organization. They are looking forwards to a critical elaboration on how the bots will perform the tasks effectively and efficiently.
