Especially in companies involved in finance, the dress code may not be as lenient as it might be in other industries. There may also be certain requirements for those interfacing with clients or for important meetings as opposed to those working behind the scenes. This memo should be framed using the same fictitious company you created for the email assignment; however, in this case you will assume the role of the Human Resource Manager and draft an interoffice memo to the employees of the company announcing the company’s summer dress code policy. Be sure your memo makes sense for your industry.

Please include the following content:

  1. An opening statement
  2. Context (Identify the issue. Why is there a separate policy for the summer months?)
  3. Task or Discussion (describe the highlights of your corporation’s policy on business attire in the summer)
  4. A summary
  5. Reference an enclosure to your company’s new policy or guidelines. (You are not responsible for writing a policy, Just reference it clearly in the body of the memo.)
  6. Use any end notations, such as cc: or Enc., that are necessary.

Length: Four (4) paragraphs (4-6 sentences each)

Format: This memo should be framed using the same fictitious company you created for the email assignment. Please use a MS Word document, one inch margins, block style, left alignment, single-spacing (0 point) and Times New Roman font, 12 point. There should be a single space between paragraphs. Do not justify type. Follow the memo format shown in the notes in Week 2 Part 1 and The Business Writer’s Companion on pages 100-102. Insert the company name and the word MEMO at the top of the page. There should be four blank lines between the word “MEMO” and the guide words. The guide words should be single-spaced.

INTERNAL MEMO ON SUMMER DRESS POLICY

The company prides itself in maintaining a professional atmosphere and this is only achieved by employees presenting such an image and conducting themselves in such a manner. This can be affected by the manner in which we dress around the business place and especially when interacting with clients while representing the company. We have a standing dress code that provides for acceptable dressing practices around the workplace. However, we realize that the current dress code policy is not conducive during the summer.

We are always searching for new ways to make our firm a better place to work and have therefore come up with a solution to make our employees more comfortable during the summer. Listed below are a few acceptable summertime businesses wear and also a list of items that are not considered appropriate for business. This list is not exhaustive and is only meant to guideline and allow you to have an intelligent judgment on items that are not mentioned in this list.

  • Slacks/pants – light-weight and loose-fitting material pants are acceptable, provided they are clean, neat, and wrinkle-free. Inappropriate pants include shorts, form-fitting pants, see-through pants, and spandex
  • Shirts – Casual shirts with collars (for men), polo shirts and even tee shirts are acceptable provided they are not faded, are wrinkle-free, and clean. Ladies can put on tank tops and halter tops provided they are under a cover-up or another blouse that can be lightweight.
  • Dresses/skirts – Casual dresses and skirts with modest hemlines are acceptable. Dresses that are sleeveless but do not leave the shoulders bare are acceptable. Mini-skirts and spaghetti strap dresses are considered inappropriate. It is generally considered better to be over-dressed than underdressed.
  • Footwear – Items such as open-toed sandals are acceptable. Slippers on the other hand are not.
  • Personal Hygiene – It is important to maintain personal hygiene and appear well-groomed.

In summary, we need to portray a professional image at all times to all our clints and therefore, even during the summer. It is therefore important, even with the set guidelines in the policy, for the employees to choose their days’ clothing considering the day’s activities for example will you be meeting a prospective client for lunch that day, will you be making a pitch to the new investor etc.
