Modifying Advanced Reports

  • *GETTING STARTED
  • Open the file NP_AC19_CT7c_FirstLastName_1.accdb, available for download from the SAM website.
  • Save the file as NP_AC19_CT7c_FirstLastName_2.accdb by changing the “1” to a “2”.
    • If you do not see the .accdb file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.
  • Open the _GradingInfoTable table and ensure that your first and last name is displayed as the first record in the table. If the table does not contain your name, delete the file and download a new copy from the SAM website.
  • PROJECT STEPS
  1. You work in the software division of Global Human Resources Consultants (GHRC), which sells modular human resources (HR) software to large international companies. For high-level planning purposes, you have created an Access database to track new clients, the HR software modules they have purchased, and the lead consultant for each installation. In this project, you will modify advanced reports.

    Open the ConsultantSalaries report and complete the following tasks:
    1. Add a title.
    2. Modify the title to read Consultant Salaries.
    3. Bold the title.
    4. Center-align the ID label and the ConsultantID data.

      Save and close the report.
  2. Open the ClientSoftwareGrouped report in Design View and add a grouping level on the SoftwareCode field. Save and close the report.
  3. Open the ConsultantList report in Design View and complete the following tasks:
    1. Modify the report to use two columns.
    2. Use the Down, then Across layout.

      Save and open the ConsultantList report in Print Preview, and then close the report.
  4. Open the CountryList report and complete the following tasks:
    1. Remove the control layouts from the controls in all the report sections.
    2. Remove the Page Header and Page Footer sections and all controls in them.
    3. Resize the Country Report label in the Report Header section so that the right edge reaches the 2" mark on the horizontal ruler.

      Save the CountryList report.
  5. With the CountryList report still open, complete the following tasks:
    1. Change the font color for all controls in the report to Automatic (Black).
    2. Modify the report to use alternate back colors for each row.

      Save and view the CountryList report in Print Preview, as shown in Figure 1, and then close the report.

The figure shows the final CountryList report in Print Preview. The control layouts have been removed from all report sections and the Page Header and Page Footer sections have been removed as well as all controls within them. The Country Report label in the Report Header section has been resized to approximately 2". The font color for all controls is black and the alternate rows in the Detail section has been shaded light gray, the Alternate Row color.

 

  1. Create a new report using the following options:
    1. Set the Record Source for the report to the Revenue query.
    2. Add all of the fields from the field list to the top of the Detail section of the report at about the 2" mark on the horizontal ruler.
    3. Expand the Detail section to about the 5" mark on the vertical ruler.

      Save the report with the name RevenueInfo and then close it.
  2. Make a copy of the ClientListing report, and then use ClientDetails as the report name.
  3. Open the ClientDetails report and complete the following tasks:
    1. Delete the two text boxes in the Page Footer section.
    2. Move the ClientID label in the Page Header section and the ClientID text box in the Detail section slightly to the right so that the right edge is at the 3" mark on the horizontal ruler.
    3. Use Client Details as the label in the Report Header section. If necessary, resize the label so that the caption is fully visible.

      Save the ClientDetails report.
  4. While still working in the ClientDetails report, sort the records in ascending order by the ClientName field.

    Save and preview the ClientDetails report, a portion of which is shown in Figure 2, and then close it.

The figure shows the final ClientDetails report in Print Preview. The controls in the Page Footer have been deleted and the ClientID label and ClientID text box have been moved to approximately the 3" mark on the horizontal ruler. The records are sorted in ascending order by ClientName.

 

  1. Create labels for consultant files based on the Consultant table as follows:
    1. Select the Avery USA 5096 product number. Use a bold Arial 12-point font with the Automatic (1st column, 6th row in the Basic Colors palette) text color.
    2. On the first line of the label, insert the LastName and FirstName fields separated by a comma and a space.
    3. On the second line of the label, insert the ConsultantID field.
    4. On the third line of the label, insert the Reside field.
    5. Sort the report by the LastName field.

      Save the report, using ConsultantLabels as the name. Confirm that it matches Figure 3 when viewing in Print Preview. Close the report. (Hint: If a message appears warning that not all information is displayed, click OK.)

The figure shows a portion of the ConsultantLabels Report in Print Preview. Labels for three consultants are shown, and display the consultant's last name then first name on the first line, their ConsultantID number on the second line, and their country of residence on the third line.

 

  1. Open the SoftwareComponents report, and then complete the following tasks:
    1. Add page numbers to the report on the left side of the Page Footer section using the Page N of M format.
    2. Add the date (but not the time) to the report using the Medium Date (28-Feb-19) format.

      Save the SoftwareComponents report.
  2. With the SoftwareComponents report still open, complete the following tasks:
    1. Adjust the Report Footer section to be about 0.5" tall.
    2. Adjust the right edge of the entire report to align with the right edge of the MonthlyFee text box in the Detail section and the Monthly Fee label in the Page Header section.
    3. Add a text box to the right side of the Report Footer section directly below the MonthlyFee text box in the Detail section.
    4. Within the text box, add an expression to sum the MonthlyFee field for the entire report.
    5. Enter Total Monthly: as the new label in the Report Footer section. If necessary, resize the label so that the caption is fully visible.

      Save the SoftwareComponents report.
  3. With the SoftwareComponents report still open, complete the following tasks:
    1. Left-align the left edge of the new text box in the Report Footer section with the MonthlyFee text box in the Detail section.
    2. Right-align the content within the MonthlyFee text box in the Detail section and also in the new text box in the Report Footer section.
    3. Apply the Currency format to the text box in the Report Footer section.

      Save and preview the report in Print Preview, as shown in Figure 4, and then close the SoftwareComponents report.

The figure shows the final SoftwareComponents report in Print Preview. The current date has been added to the report in a Medium Date format. The Report Footer contains controls to add up the MonthlyFee values and identified with a label using Total Monthly: as the Caption. The total MonthlyFee value is right-aligned with a Currency format, and the left edge of the text box is aligned with the MonthlyFee text box in the Detail section.

 

Save and close any open objects in your database. Compact and repair your database, close it, and then exit Access. Follow the directions on the SAM website to submit your completed
