Introduction Communication is very important in facilitating day-to-day human interactions. Different people have defined communication differently based on the subject in context. Communication is the transferring of information from one place to another or from one person or group to another person or group. Alternatively, communication can be said to be the act of coming up with meaning between groups or entities through the use of semiotics, signs, and symbols that are understood mutually. From the two definitions, communication is essentially based on the creation and exchange of meaning through transferring information. This information can be transmitted through nonverbal or verbal means which are oral communication, graphical presentations such as maps and charts, speech, behavior, signals, and signs. Communication is also defined as a representative process that produces, repairs, maintains, and transforms reality. (Pooley,2020) Communication is not limited to human beings since entirely all creatures have established a way of communicating with each other. The difference in communication between humans and other creatures is the ability to use language and words to convey a certain meaning. 3|Page There are different ways that human beings use to convey meaning to each other. They are verbal communication and nonverbal communication. Nonverbal communication conveys meaning in a non –linguistic form. Examples of nonverbal communication are eye contact, gestures, body language, haptic communication, and chronemic communication (Sutiyatno 2018). In addition, nonverbal communication involves a relationship to the intention of the message. For instance, intent can be voluntary like sharing and shaking hands while involuntary intents may involve something like sweating. On the other hand, verbal communication is the conveyance of a message in spoken or written form. In verbal communication, language is defined classification of symbols and the guidelines used for manipulation of the symbols. In most cases, human languages are composed of gestures or sound patterns for symbols that facilitate communication. 3.Poor constructed communication 3.1 Face to Face Face-to-face communication involves the physical interaction of both the sender and recipient. In this kind of communication, precise and quick feedback is obtained from the two parties. During a face to face communication, verbal communication and nonverbal communication are involved. Verbal involves both parties using spoken words while nonverbal involves the use of body language and tones when communicating (Hellmann et al. 2020). Face to face communication is highly recommended where immediate feedback is required and the target audience involves few individuals. From the table of diaries used in this report, face to face communication is poorly constructed since the message to collect donations is supposed to reach a wide group of people, and face to face communication does not facilitate a wide group. In addition, face to face communication is time consuming in a situation where the message needs to be conveyed within a given period. These reasons make face to face communication to be a poorly constructed means to request a donor. 4|Page 3.2 Emails Communication is an art that improves day by day. Emails are used at different places to convey information to different individuals. For instance, emails are used at offices especially in today's world to convey information among employees (Zagalsky et al. 218). Moreover, emails are used to facilitate upward communication and downward communication at the workplace. This makes email effective at the office since an official communication mode is maintained. Furthermore, emails are efficient in a situation wherr a certain message needs to be conveyed to multiple people. Using mail merging, every recipient gets exactly the same information to the other hence making emails to be efficient at the workplace. In the case of this report, email was used to request payment. In a situation where the payments are required urgently, mailing is not efficient. Using email to request payment is a poorly constructed communication since the recipient may fail to respond to the mail. In addition, the nature of communication when requesting payment at the individual level is expected to be confidential and in this case, a third party may access the mail hence breaching privacy. Mail may take some time for the message to be conveyed in a situation where the receiver was not connected to the internet and may take time to be communicated hence delaying the feedback. 4. Well-constructed communication 4.1 Phone communication Phone communication is used in different situations where immediate feedback is required. Phone communication creates trust, energy, an immediate level of sincerity, and continuous dialogue. It is advantageous to the communicating parties since both parties enjoy faster interactions, easy communication, and maintains personal confidence (Xu et al. 2018). In addition, in phone communication, a person can remember another person's voice making it difficult to impersonate. Phone communication is well known for its ability to respond to matters that require immediate action like reporting an emergency, scheduling an appointment, and other such activities. In the case of this report based on the table, phone communication was well used and constructed to report an emergency. It is well constructed because it is focused on the target receiver specifically and the message can be conveyed directly without the need to include other information which may be unnecessary. When reporting an emergency, immediate feedback is needed and phone communication facilitates immediate feedback. Moreover, this communication is well constructed because it does only involve verbal communication but also nonverbal communication. Nonverbal communication in this context is achieved by the use of tone variations. 5|Page 4.2 YouTube YouTube is a modern way of communication that uses videos to convey different types of messages to a different group of individuals over the world. YouTube is key when communication requires a wide range of target audience since through YouTube everyone can obtain the information being conveyed. In modern ways, YouTube is key in the advertisement and sharing of video information. In addition, YouTube is great since a person can earn money while still communicating the intended message (Amarasekara 2019). In this report as recorded in the table above, YouTube is used for advertisement. This is a well-constructed communication because a wide number of target recipients is reached. In addition, the message may use both verbal and nonverbal means of communication depending on the nature of the message hence making it a more efficient way to advertise. In an advertisement, immediate feedback is not necessary since the purpose is to introduce or remind the target audience of a product or a service. In a situation where the target audience is young people, YouTube videos are the best mode of communication since young people like watching and also some videos are entertaining. YouTube uses search engine optimization when one is searching for a video, this helps to ensure a person finds the right video that suits their needs. This helps to ensure the person watching the video is a target audience for that certain video. 5. Suggestions to improve poorly constructed communication 5.1 Face to face Based on the requirement and need for the communication, face to face communication can be improved and to do efficient communication. In the case of donation collection, face to face can be improved in a number of ways to ensure efficient communication. One is to convey the message to a group of people. This will help to pass the same message to many people and hence save time and get more donations. The other way to improve face to face communication is by making videos and projecting them on television or social media platforms. The use of videos will reach many people within a given time frame. 6|Page 5.2 Mailing Mailing is efficient for office communication although it lacks immediate feedback in matters that require urgency. When requesting payment especially at the individual level and in situations of urgency mailing needs to be accompanied by a phone call. The purpose of the phone call is to inform the receiver that a mail communication has been send and needs an urgent response. Moreover, mailing can be improved by campaigning for mails to be the only communication means in a particular setup like an office. This will ensure that the people involved always check on their mailbox and hence improve communication via mail. 6. Conclusion Communication involves not only words but also a combination of body language and tone. Efficient utilization of body language and tone is fully effective to convey meaning. Ensuring eye contact is key in communication especially face to face when compared to other forms of communication which do not allow physical interactions. Eye contact is as well important in ensuring that the message reaches the right receiver. It is advantageous to use face to face communication since it helps avoid frustrations involved in cases where a message is relayed to the wrong recipient in the office or normal life situation. Before accepting to give feedback to communication, it is vital to ensure that the recipient has understood the message correctly. This is achieved mostly by considering the message before responding to that particular communication or agree to understand the message. It is vital to be skilled and effective communicators in our interaction for efficient communication (Couzin 2018). Each and every person has a role in ensuring effective communication and this can be achieved by doing self-analysis and working on the weaknesses to improve communication.
