Sonia encountered many challenges as she had to rebuild the Enrollment department from scratch. The Enrollment department was not in good shape, and members did not trust the company; the marketing staff did not want to refer any member in need of Long-Term Care services to the plan as it takes six months to enroll a member.

 

NYS Catholic Health Plan

Founded in 1993, NYS Catholic Health Plan (Fidelis Care) is a health insurance company that serves over one million members in New York. Its mission is to help the medically underserved. In 2004, they were able to aid the elderly population through their Medicare Advantage plan, and in 2009, they launched their Long-Term Care product to assist individuals who are 18 years old and older.

 

Correspondence at NYS Catholic Health Plan (Information overload)

Communication problems in an organization can have a dominant effect on employees. It can affect their productivity, morale as well as the internal relationship between departments.

Sonia is feeling overwhelmed by the way the company communicates. Despite having to answer skype messages, group chats, text messages, video conferences, telephone calls, internal meetings, she still receives on average 150 emails per day. Those emails must be read and answered the same day, no later than 24 hours from the receipt date.

Email overkill is an unhealthy way of communication, and information often gets lost, overlooked, or deleted. Often, an employee like Sonia gets exasperated by too much data. She prefers a well-organized method of process information, and she does not like to feel counterproductive.

Addressing the information overload

Sonia tries to bring the information overload concerns to her director on multiple occasions. She was told that email is the communication avenue of the company. She will need to work on time management in order to manage those emails.

Sonia has since been working a lot of overtime in order to keep up with the workload.

Yes, this topic has potential. To the greatest degree possible, Sonia needs to quantify everything possible. By keeping a log of her emails, she will be able to report the daily average number of emails and the total amount of time to respond. Research literature will verify that emails were intended to be time savers but people give no thought to sending an email, causing a flood of inefficient communication. If Sonia is expected to do other work in addition to responding to emails, the crushing demand on her time is affecting both aspects of her job. What does the research say is the solution to such a problem? The solution here is the critical part of the Final Project. Identifying the problem is not enough.
