  • Open the file IL_WD16_8b_FirstLastName_1.docx, available for download from the SAM website.
  • Save the file as IL_WD16_8b_FirstLastName_2.docx by changing the “1” to a “2”.

If you do not see the .docx file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.

PROJECT STEPS

  1. You are writing a form letter inviting alumni of Camp Tall Pines to attend a camp reunion. Start the Step-by- Step Mail Merge Wizard, accept Letters as the document type, then choose to use the current document as the starting document. Continue to Step 3 in the Mail Merge wizard, choose to create a new recipient list, then customize the columns in the recipient list as follows:

 

    1. Customize the columns by deleting the Company Name, Country or Region, Home Phone, Work Phone, and E-mail Address fields.
    2. After the ZIP Code field, add a field named Cabin Name. (Hint: Do not type the period.)
    3. After the Cabin Name field, add a field named Group Name. (Hint: Do not type the period.)
  1. Enter the two recipient records shown in bold in Table 1 on the next page, then save the data source using a name of your choice.

  1. Continue to Step 4 in the Mail Merge wizard. To insert a personalized inside address, select the placeholder text “INSERT INSIDE ADDRESS”, insert an AddressBlock merge field using the Mr. Joshua Randall Jr. format, then delete the placeholder text.
  2. To insert a personalized greeting line, select the placeholder text “INSERT GREETING LINE”, insert a GreetingLine merge field using the Dear Mr. Randall: format, then delete the placeholder text.
  3. In the first paragraph of the letter’s body, select the placeholder text “CABIN NAME”, then insert the Cabin_Name merge field to insert the name of the appropriate cabin.
  4. Select the placeholder text “GROUP NAME”, then insert the Group_Name merge field to insert the name of the group.

 

 

  1. In Step 5 of the Mail Merge Wizard, edit the recipient list by filtering to select only the record(s) with Eagle in the Cabin Name field for merging because letters to this group should be sent separately from the others.
  2. Complete the mail merge as instructed in the lettered steps below. You will merge to a new document and then copy the contents of the merged file to the bottom of your original document, so that all of your assignment appears in the same file.
  1. Continue to Step 6 of the Mail Merge wizard, then merge to a new document.
  2. In the new document containing the merged form letter, press CTRL+A to select all contents in the document, then copy the selected text to the Office Clipboard.
  3. In the IL_WD16_8b_FirstLastName_2.docx document, move the insertion point to the blank paragraph at the end of the document, then paste the merged form letter into the main document.
  4. Delete the section break and blank paragraph marks at the end of the main document to remove the extra blank page, verify that the pasted merged form letter appears on page 2 of your IL_WD16_8b_FirstLastName_2.docx document, then turn off the preview of the mail merge results.

Close the new, merged document without saving it.

The document IL_WD16_8b_FirstLastName_2.docx should look like the Final Figure on the following pages. Save your changes, close the document, and exit Word. Follow the directions on the SAM website to submit your completed project.
